Ways to pay that fit your patients and your practice

Collect at the visit, follow up on a balance, or arrange an authorized payment schedule. Choose the channels you need without making every patient follow the same path.

Front-desk payments

Keep reception moving with chip, contactless and mobile-wallet payments. Affordable terminal rental gives your practice a choice of countertop and wireless equipment, with practice-management integrations that reduce double entry. Explore payment terminals.

Online patient payments

Let patients settle a balance from home through a branded hosted payment page. They enter card details on the hosted checkout, reducing the card data handled by your website. See hosted payment pages.

Invoices and payment links

Spend less time chasing balances. Create and send email invoices patients can pay online, track paid and unpaid invoices and receive overdue-payment notifications. Automatic reminders and branded receipts keep routine collection organised. Explore invoicing.

Phone payments

Take authorised phone payments through a browser-based Virtual Terminal using an existing computer or tablet. Optional card-reader equipment also supports in-person collection, with eligible reader transactions costing less than keyed payments. Manage patient contact details, reuse tokenized card-on-file credentials for repeat patients and send branded email receipts.

Recurring and card-on-file

Make agreed payment plans easier to manage with recurring billing and tokenized card-on-file payments. Automate authorised collections while keeping full card numbers out of your own records. Explore recurring payments.

Reporting and reconciliation

Give your finance team clearer payment records. Review transactions and electronic statements, match deposits to activity and connect reporting with your accounting workflow. Multi-location reporting helps growing groups see payment activity across practices.

Protect payment data. Keep privacy responsibilities clear.

Reduce your team’s exposure to card data with hosted collection, tokenization and payment terminals. Clearly helps you choose the right payment tools while keeping patient records separate from the payment workflow.

EMV and contactless

Chip-enabled terminals use EMV transaction security to help address counterfeit card fraud. EMV does not replace PCI DSS obligations or protect clinical records.

Encryption and tokenization

Encryption protects card data in the applicable payment flow. Tokenization replaces a card number with a reference for supported stored-credential payments, helping reduce exposure to card details.

Hosted payment collection

Give patients a convenient online checkout without building your own card-entry form. Hosted collection reduces direct exposure to card data and can simplify the PCI DSS requirements for your website.

Simplify your PCI DSS work

Keep your team focused on the practice with Clearly’s managed PCI compliance support, including help with required validation. Hosted collection and tokenization reduce direct exposure to card data. Your organization still follows the relevant security practices for its payment environment. Read PCI SSC’s guidance.

For independent practices and growing healthcare groups

Your payment setup should reflect how your organization operates; not just the industry name on your account.

Dental, medical and specialist practices

Support reception payments, patient balances and remote collections for dentists, physicians, clinics and specialists.

Allied health and vision

Bring practical payment options to physiotherapy, rehabilitation, chiropractic, massage therapy and optometry practices.

Laboratories and pharmacies

Collect in-person and remote payments for laboratory and pharmacy services, with payment tools and reporting fitted to your channels and software.

Veterinary and care organizations

Make collection easier for veterinary practices and care organizations with reception payments, invoices and agreed payment schedules. Clearly helps you plan the payment workflow around your organization.

Make payments work with the rest of your operation

A payment solution should help your team collect and reconcile payments without creating another disconnected process. Start with your practice-management system, accounting tools and the way staff work across locations.

Connect payments with your practice-management and accounting workflow to reduce double entry and make reconciliation easier. Clearly reviews your software version and required data flow to identify the right connection. Explore integration options.

Start with your practice, not a generic package

1. Share your setup. Tell us about your payment channels, locations and software; not patient details.

2. Review your options. Discuss pricing, equipment, compatibility and the information needed to assess your requirements.

3. Switch with support. Get dedicated implementation help with equipment, software connections and payment workflows. We’ll assess any stored-card migration as part of the transition.

A dentist’s perspective

“I’ve been looking into ways I can save on costs in my practice. I came across a company in Canada called Clearly Payments, through a dentist friend. They offer transparent fees and monthly subscription costs or cost plus depending on what is most beneficial for the business. It will save me about $400 a month!”

Healthcare payment processing questions

Does using a payment processor make our practice HIPAA compliant?

Ordinary card-payment processing does not make a practice HIPAA compliant. U.S. rules distinguish normal financial transactions from healthcare services that handle protected health information on a provider’s behalf. Those additional services can require business-associate safeguards and a BAA. Read HHS guidance on business associates.

What patient information should we put into a payment system?

Use only the information necessary for the approved payment workflow. Avoid adding diagnoses, treatment details or health identifiers to payment notes, receipts or enquiry forms unless that use has been specifically assessed and supported. Identifiable billing information can also be sensitive. Payment tools should not be treated as clinical-record systems.

What Canadian privacy requirements should we consider?

The applicable rules depend on your province, organization and information flows. PIPEDA and/or provincial private-sector and health-information legislation may apply. Confirm provider responsibilities and any cross-border processing before implementation; Canadian ownership alone does not establish Canadian data residency. See the Canadian privacy regulator’s healthcare guidance.

Can we take recurring payments without storing card numbers ourselves?

Supported tokenized card-on-file solutions let a payment platform retain payment credentials and use a token for authorized repeat payments. Agree the schedule and terms with the cardholder and confirm the platform configuration. Do not retain CVV after authorization, including for recurring payments. See PCI SSC’s CVV guidance.

Will Clearly integrate with our practice-management software?

Clearly offers payment integrations that help reduce manual entry between collections and your practice systems. Tell us the software and version you use, and we’ll identify the connection and workflow for your setup.

Can you help us compare our current processing costs?

Yes. Get a clearer view of what your practice pays and where costs could be reduced. Clearly reviews your processing statements, payment mix and equipment costs, then explains the pricing options that fit your operation. Share business payment information only, without patient or full card details.
